How to manage contacts from Outlook

Legrand CRM enables you to manage your contacts effectively all from within your Outlook account. If you view an email that does not exist in your Legrand CRM database, you are presented with three options:

  • Create New Contact
  • Add email address to existing Contact
  • Attach email to existing Contact

Create New Contact: Record a new Contact in Legrand CRM. The First Name, Last Name and Email Address are pre-filled in the contact form. Click ‘Select Company’ to link an existing Company from your Legrand CRM database to the Contact. If the contact’s company record does not exist in your Legrand CRM database, you can create a new record by clicking on the icon on the right.

Once you have filled in the relevant fields, you can save the contact and transfer the email at the same time. Click ‘Save Contact and show Transfer form’ to save the new contact in your Legrand CRM database and open the Advanced Transfer function. Alternatively, click ‘Save and Transfer Email’ to save the new contact to your Legrand CRM database and transfer the email.

Add email address to existing Contact: This function enables you to attach the email address to an existing Contact from your Legrand CRM database. Type in the fields to search for the Contact and click “Search”. Once you found the contact, click “Select” and “Yes” to associate the email to the existing contact.

Attach email to existing Contact: This function uses the Advanced Transfer feature to attach an Activity Note to an existing contact in your Legrand CRM database. Type in the fields to search for the existing Contact and click “Search”. Once you found the contact, click on the checkbox then click “Ok”. After you click “Ok”, the Advanced Transfer feature will open. Fill in the relevant fields and click Transfer.    

Note: Add email address to existing Contact: An existing client from your Legrand CRM database may use more than one email address for work. If a client you do business with sends you an email from a new email address (does not exist in your CRM database), you can simply record the email address rather than creating a new record.   

The Legrand Outlook Add-In panel for existing contacts displays contact information and a section to record further information. You can record Activity Notes, Tasks, Calendar Appointments and Opportunities all from within Outlook. Click on each section or use the arrow to expand and view details. To record new information, simply click on the additional icon as shown on the right.
